SFARMLS Super-Regional Update #4

Status Update: New system continues to be fully operational. We fully expect to continue to find and fix issues for another two weeks. Connections with partner MLSs of the NORCAL MLS Alliance are stable - and we are near the finish line regarding inconsistencies where a small percentage of listing data is not transmitted (see Known Issue #3).
System performance has steadily improved all week. If you believe you experiencing degraded MLS speed or performance, please clear caches to make sure you are loading the most recent changes to the web application. There are currently no Break/Fix level problems outstanding that make the system unusable, but we are tracking and working on several functional known issues, and highlighting some important changes, so please read on:
Resolved Issues:
Hotsheet & Search Scheduled Emails (Critical) - We are now seeing that scheduled emails for HotSheets and Searches are broadly working across the entire Rapattoni system. We cannot guarantee that there are zero missing emails, because it is difficult to test for missing information, but we do see that emails are being transmitted in logs and checks. This was resolved late on Wednesday and we have seen emails through Thursday and today. If you have a saved search or hotsheet scheduled, or attached to a prospect and are certain that the email is not being sent, please capture as much detail as possible and then reach out to the Rapattoni support team (see Getting Help #3).
Auto-Prospecting Emails and Client portal invitation Emails (Critical) - Functionality for these emails has been similarly restored. You may need to recreate and resend any invitations created before Thursday February 4th. If you do not see these being sent immediately as expected, please capture as much information as you can and then reach out to the Rapattoni support team (see Getting Help #3).
New Members (Break/Fix) - New members joining SFAR (and there are many!) are now correctly receiving system and product access rights again.
Coming Soon Workflow (Critical) - We thought we had this one fixed last week, but it was still not quite working correctly. Today, Rapattoni and SFAR Technician Patrick Anderson got this figured out and tested in our staging environment. We are trying to roll this out as fast as we can, and it should be live by the time you read this post. In the event that you cannot edit YOUR specific Coming Soon listing dates, we have an alert setup at mls@sfrealtors.com so that we see these, even if they come in over the weekend.
Disappearing/Reappearing Saved Search Panel (Normal) - On Monday between 7am and 9:10am, and again on Tuesday, there were reports that the panel for Saved Searches would not display or expand even when set to show. This was resolved midweek.
Important Changes:
MLS Numbers are larger now - Please read all about the recent change regarding our larger MLS listing numbers in my recent post on this topic.
Closing a Coming Soon listing - There are new procedures for "Sold Off-MLS" Comparable sales, and how this works specifically when you did enter the listing as Coming Soon and want to close it and record the sale. Read this post created in collaboration with SFAR President Dan Hershkowitz.
Known Issues:
District/Subdistrict Assignment (Normal) - the number of listings imported into our system with a blank Subdistrict value has decreased significantly. If your listing is affected by this bug, please email us the MLS# of the listing so that we can correct that for you. In normal LISTING INPUT, you should not see this problem as the values are auto-populated. This is not a wide-spread problem and is easily fixed by staff if you email the team.
District/Subdistrict in Search (Low) - when using SEARCH functions, make sure to put the Subdistrict letter in uppercase so that it functions properly. This is not related to the Assignment issue highlighted above.
Gaps in Reciprocal Listing Data (Critical) - I have been primarily focused on helping solve problems related to sending and combining ALL listing data between MLS systems, we are aware of a gap right now related to historical SSO data not transmitting/grouping/updating where it should. We are CONFIDENT that this is a small number and will be solved next week. While this doesn't affect what SFAR members see in our system (which is complete) it affects what we send to our partners and could limit visibility of some listing data. It is my personal highest priority item.
Functional Page Errors (various) - we are noticing that some pages end in "Oops" error pages, or the occasional "Application Exception" but often these are solved by going back and retrying the operation. If you see one of these persistently, please take a screen shot and email us so we can work on it.
Data Point Errors (various) - we have also seen that some listing information has not transformed correctly amid the thousands and thousands of transformations as part of the release. If you find a listing with an incorrect data point, please take a screen shot and email us, and we will work with our reciprocal MLS partners to get it corrected.

As I'm sure you can imagine our support department is incredibly busy. We ask that you help us, help you, more efficiently by re-reading the "6 Common Things You May See" page, and then making sure that you:
Email for support, avoid phoning. We are having a heavy load of calls - email gets you a place in the issue queue much faster than leaving a voicemail.

If you are looking for help with missing Automated Emails, or Invitation Emails (emails ONLY please) you should reach out to Rapattoni directly going forward as we believe these issues have been fixed and they would like to assist you directly with missing email related issues (complete this form or call: 866-730-7114). Please note that Rapattoni can never update listing information for you, they cannot fix Area/District or Subdistrict information, and cannot change listing status or date information. Those requests must queue up with our internal team: mls@sfrealtors.com.

Hey, What's Issue Severity?
Bugs, problems and known issues are graded internally by the SFARMLS team as follows (in highest priority to lowest):
Break/Fix - this is a problem across the entire system that makes it nearly unusable. Requires immediate intervention and a patch release as soon as feasible.
Critical - this is a serious problem that affects users and is being addressed as soon as possible for inclusion in the next release of the software.
Normal - this problem is being worked on and will be released when the fix has been completed as part of a regular release cycle. There is frequently a work-around for Normal priority issues.
Low - this is a known issue that should be addressed when time permits. Sometimes Low priority bugs are actually feature enhancement requests and may be addressed by an overall improvement to the software planned at a later time.
